Why do Emails go to Junk Mail?

When emails are sent in bulk (e.g. from online statements), they automatically go under more scrutiny by spam filters. If they have an attachment (e.g. the pdf statement) then they get even more scrutinized as the attachment could potentially be a virus.  As their is no defined / global set of rules to prevent emails going into junk each email provider will use their own specifications for spam filters. These can change almost daily, what was OK yesterday may be marked as spam today as spammers work out how to get around the spam settings. Unfortunately as the spam filters change they will often catch legitimate emails as well so it likely that you will always get a few emails going into junk mail.

What can i do to stop emails going into Junk Mail?

1. Although there is no defined set of rules there some common spam filters that can be adhered to;
   
1. Avoid CAPITAL letters in your subject line or email body.
   
2. Include unsubscribe instructions in your email
   
3. Add your company name and contact details to the bottom of email.
   
4. Avoid using to many images
   
5. Avoid using red text
   
6. Remove emails addresses that bounce back inside VetlinkSQL.
   
7. Avoid using exclamation points.
   
8. Spell check your emails.
   
9. Use Last visit date ranges for bulk email out, e.g. just send to recent clients.
   
10. Avoid using spammy words, e.g. Free, Guarantee, No Obligation, Important, Limited Time only., etc...
    
    
2. Get details on the email address that went into junk and how the client opens the email the email, eg Outlook on phone or Outlook on PC. Both the email account and application opening the email can have spam filters. Once you have the details email them to CFL so we can test and see if we can make any improvements.
   
   
3. Finally the best and most fool proof method of preventing emails going into spam is to get the client to remove your email from the junk folder and add your email address to their contacts / whitelist. The instructions below show how to do this in gmail.
   
1. At top of the gmail screen on a PC click the drop-down list in the search options
   
2. Enter the your email in the from address
   
3. set Search to Mail & Spam & Trash
   
4. click search
   
5. Any email from your address should be shown and which folder they have been received in.
   
6. Mark the email as "Not Spam"
   
7. Hover hover the from address in the email and click add to contacts.
